FAQ & help

Questions, answered.

How Florium works for your studio, your teachers and your students. New answers are added every week.

Getting started

Can I keep my own website?

Yes. Florium doesn't replace your site. You paste your schedule into any page you already have, on Squarespace, Wix, WordPress or a hand-built site, and students browse classes and book without leaving your website. The schedule shows your classes, workshops and series in month, week, day or list view, and takes payment right there.

You can also link straight to a single class or workshop, so a newsletter, QR code or Instagram post can send people directly to the booking.

Will students see my studio’s name or Florium’s?

Yours. Your schedule, booking screens and emails carry your studio’s name and colours on your own web address, and Florium’s name doesn’t need to appear anywhere your students look.

How do students pay, and how do I get the money?

Students pay by card when they book a class or buy a pass, through your own Stripe account. The money goes from Stripe straight to your bank on Stripe’s usual schedule, and Florium never holds it.

What you charge is up to you, from single classes to passes and memberships. See Can I set my own prices?

Is my students’ information kept private?

Yes. Your public schedule and booking screens never show students’ contact details, payment details or what you pay your teachers. Teachers see only what they need for their own classes, and everything else stays with you.

Scheduling

How do I set up my weekly schedule?

Add each class once and it repeats every week. Choose the day, time and length, the teacher, the room, the price and, if you like, a limit on numbers. If the same class runs on several days, tick them all and Florium creates one class for each day, which you can then edit on its own. Duplicate copies an existing class when you want another one like it.

Give a class a start date and it appears on your schedule from that day. Give it an end date for a term or a season and it drops off afterwards. Add a description and an image, or Florium shows the teacher’s photo instead.

Can I add photos to my classes and workshops?

Yes. Upload a photo for each class, workshop and teacher from the admin. Large photos straight from your phone are shrunk automatically before they upload, so there’s nothing to resize first.

Photos show on the class card and the booking screen. If a class doesn’t have a photo of its own, Florium shows the teacher’s photo instead.

Can I run workshops, series and courses?

Yes. A workshop is a one-off event over one or more days, and students can book the whole workshop or individual sessions. A series runs on the same day each week, and a course runs on whatever dates you choose. Both can be sold as a package, with single-session drop-ins if you want them.

Each one gets its own image and description on your schedule, students pay online when they book, and you set the teacher's share of the takings.

What does my schedule look like to students?

Students can browse your schedule by month, week or day, or as a list of cards with tabs for classes, workshops, series and courses that they can filter by teacher and location. On a phone the calendar opens on the week, so it’s easy to read on a small screen.

Each class shows its time, its teacher and whether it’s in the studio, online or both, and how many spaces are left if you’ve set a limit. Students tap a class to read the details and book it there and then. Past classes and dates you’ve cancelled can’t be booked.

Can I teach in more than one location?

Yes. Add each of your rooms or locations with its address, and choose where each class takes place. If one date moves somewhere else, change the location for that day without touching the rest of the schedule.

Classes can also be online, or in the studio and online at the same time, and your schedule labels each one clearly.

Can I cancel or move one class without changing the whole schedule?

Yes. Open the class on that date and cancel just that one, for a holiday for example, or move it to another of your locations or online. The rest of your weekly schedule stays as it is, and the cancelled date shows as cancelled so no one can book it.

When you cancel a date, everyone booked is emailed. Pass holders get their class back, and anyone who paid for that class gets a credit towards another one. If plans change again, restore the date and it opens for booking.

Can I schedule private sessions?

Yes. Book a private for a student on one or more dates, choose the time and length, and say where it happens: your studio, online, the student’s home or somewhere else. Each session comes off the student’s private-session pass, and they get a confirmation email.

If the student doesn’t have a pass yet, Florium emails them to say one is needed before the session is confirmed.

Can I put a notice on my schedule?

Yes. Write a short message, add a link if you like, and it shows across the top of your schedule until you switch it off. Students can close it once they’ve read it.

Can I block out time on the calendar?

Yes. Add a block for a date and time to hold the room for a rental or a meeting, or to post a studio event. Give it a short title, such as “Studio closed” or “Open house”, and it shows on your schedule without taking any bookings.

Booking & payments

How do class passes work?

You decide which passes your studio sells: how many classes each one holds, what it costs and how long it remains valid for use, whatever suits your students' pocket book. Students buy a pass online and use it to book classes, with no card details needed for each booking.

Every time a student books, one class comes off their pass, and they can see what's left in My Bookings. In the admin you can see whose passes are running low or about to expire and send them a reminder in one click. If someone needs more time, you can extend the pass, add classes, or switch it off.

Want ongoing members instead? Memberships renew monthly and sit alongside passes.

Do students get reminded when their pass is running out?

Yes, automatically. When a student is down to their last class, Florium emails them a reminder, and sends one more a couple of weeks later if they still haven’t used it. Anyone whose pass is due to expire within two weeks gets one reminder before it runs out. Members aren’t sent these, because their membership renews on its own.

In the admin, the pass alerts report lists everyone whose pass is running low or close to its expiry date, and you can send them all a reminder in one click.

Can students cancel or reschedule on their own?

They can cancel or move to a different class from the confirmation email sent to the email address they've provided, within a time limit that you, the studio owner, choose to suit the culture your studio has cultivated.

If you cancel a class yourself, Florium emails everyone who was booked. Pass holders get their class back, and anyone who paid for a single class gets a credit to use within 90 days.

Can I set my own prices?

Yes. You set the price of each class when you add it, or give it a price range so students pay what they can. Workshops, series and courses can have a package price and a price for each session.

You choose the prices for your passes and memberships too, and the same price shows everywhere a student sees it: on the purchase screen, in the membership terms and in their emails.

You can also include the card processing fee in what students pay. For how the money reaches your bank, see How do students pay, and how do I get the money?

Can I offer pay-what-you-can classes?

Yes. Give any class a lowest and highest price, and students choose what they pay within that range when they book. It's a simple way to keep a class open to everyone while letting those who can pay more do so.

What happens when a class is full?

Set a limit on any in-person class and your schedule shows how many spaces are left. Once it's full, students can join a waitlist instead.

When a spot opens, the first person in line gets an email and the spot is held for them for as long as you choose. They can confirm it, or pass it on to the next person with one click. If they don't answer in time, it goes to the next person automatically. Pass and membership holders are booked straight in; everyone else pays when they confirm.

How do I know every booking has been paid for?

Florium checks every card payment with Stripe before it confirms a booking. The price comes from your schedule, not from the student’s screen, so a booking only goes through once the full amount has been paid, less any discount code you’ve created, and each payment can only be used once.

Bookings made with a pass take a class off that student’s own pass, and they’re turned down if the pass has expired or has no classes left.

Can I take payments at the front desk?

Yes. The sales terminal lets you and your teachers sell passes, memberships and retail items in person. Take cash, type in a card, or show a QR code so the student can pay on their own phone, and as the owner you can mark a sale as complimentary.

Every sale records who made it, sales tax is added to retail items you mark as taxable, and the student gets a receipt by email.

Can I offer discount codes?

Yes. Create a code for a percentage or a fixed amount off, and choose what it works on: class bookings, particular passes, or video rentals. You can cap how many times a code can be used, give it an expiry date, and limit it to certain students’ email addresses or to your members.

Students type the code when they pay, and Florium checks it again before accepting the payment, so a code only works within the rules you set. Codes don’t apply to pay-what-you-can classes.

Can I sell memberships?

Yes. You decide which memberships your studio offers and what each one costs. Students sign up online and their card is charged automatically every month until they cancel, with a welcome email when they join and a receipt each time it renews.

Members book classes without paying each time. You can open any member’s billing page to update their card or cancel their membership.

Teachers

Can my teachers have their own logins?

Yes. Each teacher signs in with their own email and password, so there's no shared admin password to pass around. You add or remove teachers from your team at any time.

Teachers see only their own classes and students. They can check people in, add a student to their roster and message their own students, and replies go back to the teacher with a copy to the studio. Your revenue, reports and settings stay with you.

What if someone forgets their password?

If a teacher forgets theirs, you set a new temporary password for them from your Team settings, and they can change it to their own once they’re signed in. Everyone can change their own password from the admin at any time, and doing so signs them out on their other devices.

When someone leaves, turn their login off and they’re signed out straight away. Their record stays, so you can turn it back on if they return.

How does teacher pay work?

You set each teacher's pay rate per student, either one rate for the teacher or a different rate for a particular class, when you set up the class or at any time afterwards. You can also set a ceiling for a class, so pay stops rising once enough students attend. For workshops, series and courses, you set the teacher's share of the takings as a percentage.

The payroll report adds it all up for any date range, class by class and teacher by teacher, and exports to a spreadsheet for your bookkeeper.

Good to know: the report always uses the pay rates as they are when you run it. If you change a teacher's or a class's rate, run payroll for the earlier period before you make the change, or those classes will be recalculated at the new rate.

Can students see who’s teaching?

Yes. Add a photo and a short bio for each teacher. The photo appears on their classes, and students can open the bio from any class card.

Can my teachers take classes for free?

Yes. When a teacher is signed in, the booking screen offers them a free place instead of asking for payment. It shows on the roster as a teacher’s place and doesn’t count towards your revenue, and they can still choose to book and pay as a student.

Students & check-in

How do students check in when they arrive?

Open the check-in screen for the class on a tablet or phone at the door. Students search for their name and tap it, and the list refreshes on its own as late bookings come in.

For in-person classes, the booking confirmation also includes a QR code. You or a teacher can scan it while signed in to check that student in. Check-ins feed the check-in report, which shows each class's check-in rate and no-shows.

Do I get a record for each student?

Yes. Every student who books gets a record automatically, so there’s no list to keep up by hand. Search by name or email to see their passes and memberships, how many classes each has left and when it expires, and their recent bookings.

From the same screen you can add a pass for someone who paid in person, add classes, extend an expiry date, or switch a pass off.

Can students sign a waiver online?

Yes. You add your own waiver wording, written for your state or country, and students sign it online with a finger or a mouse. Each signed waiver is saved as a PDF with the date and time, and the student is emailed their copy.

The booking screen reminds anyone who hasn’t signed yet, and the check-in list flags them so you can catch them at the door. From a student’s record you can print their signed waiver or email it, to your insurer for example, and a report lists everyone still to sign.

Email & newsletters

Can I email my students from Florium?

Yes. Send a quick message to one student, everyone booked into a class, or your whole list, signed with one of your saved signatures. Teachers can message the students in their own classes.

For newsletters, build the email from headings, images, text and buttons, send yourself a test, then send it to your list. Florium shows how many people opened it and clicked, and anyone who unsubscribes is left off future newsletters automatically.

What emails do students get automatically?

Florium sends the everyday emails for you: a booking confirmation with the class details, and an email when a student cancels or moves a booking, when you cancel a class, when they buy a pass or join as a member, and when a membership renews.

You get an email when someone books or cancels, and each teacher gets the next day’s roster the evening before.

Reports

What reports do I get?

Reports cover revenue by month, attendance, check-ins and no-shows, first-time students, workshop takings, teacher payroll, video rentals and waivers still to sign. Pick a date range and export any report to a spreadsheet.

Video

Can I sell recordings of my classes?

Yes. Upload your recorded classes to your video library. Students can rent a video for 48 hours or subscribe to the whole library, and your memberships can include video access or a discount on rentals.

Discount codes work on rentals too, including free codes for particular students.

How is my video library organised?

Videos are listed newest first by the date the class was recorded, not the date you uploaded it, so a class you upload weeks later still lands in the right place. Each one shows its title, subject and recording date, and students can filter the library by subject.

You can set or change a video’s recording date from your admin at any time, and the library reorders itself.
